We're straight-up honest about how we handle your personal info

Look, we get it - nobody actually reads these things. But since we're asking you to trust us with your personal details, we figured we'd make this as painless as possible. At Aetherion Spire Fitness, we're not in the business of selling your data or spamming you with junk. We collect what we need to run a solid gym, and that's pretty much it.

When you sign up or interact with us, we're gonna need some basic stuff:

  • Personal Details: Your name, email, phone number, birthday (gotta make sure you're old enough to lift), and address. Standard stuff for any membership.
  • Payment Info: Credit card details, billing address - we use secure processors so we're not actually storing your card numbers on our end.
  • Health & Fitness Data: Any medical conditions, injuries, fitness goals, or physical limitations you share with us. We need this for personal training sessions and to keep you safe on the climbing wall.
  • Usage Data: Check-in times, what classes you book, how often you're hitting the gym. Helps us understand what's working and what's not.
  • Emergency Contact: Someone we can call if you push yourself too hard and need help.
  • Photos & Videos: If we snap pics during events or promotional stuff and you're in the frame, we'll ask permission before posting anything.

We're not doing anything sketchy with your data. Here's what we actually use it for:

  • Running the Gym: Processing memberships, scheduling classes, managing your account. You know, the basics.
  • Personalized Training: Our coaches use your fitness data to create programs that won't wreck you (unless that's what you're going for).
  • Communication: Sending you class schedules, membership updates, maintenance notices. We might throw in some cool promotions or events too, but you can opt out anytime.
  • Safety: Emergency contacts are there in case something goes wrong. Health info helps us prevent injuries.
  • Improvement: We look at usage patterns to figure out what classes are popular, when the gym's packed, and how we can make things better.
  • Legal Stuff: Sometimes we gotta keep records for compliance, insurance, or if there's ever a dispute.

We're not selling your email to random marketing companies. Period. But there are a few situations where we share info:

  • Service Providers: Payment processors, email platforms, booking software - the tools we need to operate. They're all under strict agreements to protect your data.
  • Personal Trainers & Nutritionists: If you're working one-on-one with our coaches, they'll have access to relevant health and fitness info. That's kinda the point.
  • Legal Requirements: If the law says we gotta hand something over (court orders, regulatory requests), we don't have much choice.
  • Emergency Situations: If you're hurt and can't speak for yourself, we'll contact your emergency person and share necessary medical info with first responders.
  • Business Transfers: If we ever sell the gym or merge with another business, your data would transfer as part of that. You'd be notified first.

Yeah, we use cookies. Not the chocolate chip kind, unfortunately.

What They Do: Cookies help remember your login, keep your booking info handy, and track which pages get the most traffic. We also use analytics tools to see how people navigate the site so we can make it less annoying.

Third-Party Stuff: We might use Google Analytics or similar services. They have their own privacy policies - we don't control what they do, but we pick reputable ones.

Your Control: Most browsers let you block cookies, but heads up - some features might not work right if you do. Your call.

We take security pretty seriously. Here's what we do:

  • Encryption: All payment transactions and sensitive data transfers are encrypted. We're using industry-standard SSL/TLS protocols.
  • Access Controls: Only staff who actually need your info can see it. Not every front desk person has access to everything.
  • Secure Storage: Digital files are stored on secure servers with regular backups. Physical documents are locked up.
  • Regular Updates: We keep our systems patched and up-to-date to prevent vulnerabilities.
  • Staff Training: Our team knows how to handle personal data properly and what not to do with it.

That said, nothing's 100% bulletproof. If there's ever a data breach, we'll let you know ASAP and tell you what happened.

It's your data, and you've got rights. Under Canadian privacy laws (PIPEDA), you can:

  • Access Your Info: Wanna see what we have on file? Just ask. We'll send you a copy.
  • Correct Mistakes: If something's wrong or outdated, let us know and we'll fix it.
  • Delete Your Data: Want us to wipe your info? We can do that, though we might need to keep some stuff for legal or accounting reasons.
  • Opt Out of Marketing: Don't wanna hear about our promotions? Click unsubscribe on any email or tell us directly. We'll stop sending that stuff.
  • Withdraw Consent: If you gave us permission for something specific and changed your mind, that's totally fine.
  • File a Complaint: If you think we've mishandled your data, you can contact the Office of the Privacy Commissioner of Canada.

We don't hoard your info forever. Here's the general breakdown:

  • Active Members: We keep your data as long as you're a member, obviously.
  • Former Members: After you cancel, we'll keep basic records (name, membership history, payment records) for about 7 years. That's mostly for accounting and legal compliance.
  • Marketing Lists: If you're just on our email list and never joined, we'll keep you there until you unsubscribe or the email starts bouncing.
  • Health Records: Personal training and health data gets kept for 7 years after your last session, which is standard practice for healthcare-related services in BC.

Once the retention period's up, we securely delete or destroy the data.

Our programs are designed for folks 16 and older. If someone under 19 wants to join (but over 16), we need parental consent. We don't knowingly collect data from kids under 16 without explicit parental permission.

If you're a parent and think your kid's info ended up with us somehow, reach out and we'll take care of it.

Laws change, our services evolve, and sometimes we gotta update this policy. When we do, we'll bump the date at the top and let you know about any major changes via email or a notice at the gym.

If you keep using our services after an update, that means you're cool with the new terms. If you're not, you can cancel your membership - no hard feelings.
